Renewals is the work queue: every membership that needs something, in the order it needs it, soonest renewal date first. Life members never appear here, because they have no renewal date.
Before you start
The cards at the top give the picture: Due in 30 days, In grace, Lapsed · last 30 days and Renewal rate · 12 months.
The filters choose which part of the queue you see:
- Due and in grace (the default) — renewal due or in grace.
- Due in 30 days, Due in 60 days, Due in 90 days — current memberships whose renewal date falls in that time.
- In grace — past the renewal date but not yet lapsed.
- Lapsed in the last 30 days and Recently lapsed (the last 90 days).
- Auto-renew failed.
- Email not getting through — due or in grace, and with no email address, a bounced notice, a renewal link never opened after notices went out, or a code asked for and never used.
Steps
- Go to Renewals and pick a filter. Use Search by name or email to find someone.
- Read the row. It shows the level (and any level it moves to), the renewal date, Amount owed and the invoice or Not invoiced, Notices sent, Auto-renew and Next action. Under Notices sent you may see Bounced, Code not used, Not opened or Link not opened.
- To act on one member, click the … menu on their row:
- Renew for member…
- Send notice
- Create invoice (only when there is no invoice yet)
- Print notice with code
- Open member · change level, or Open member to reinstate for a lapsed member
- To act on several, tick their rows (or the box in the header for the whole page), then choose from the action bar: Send notice, Create invoices, Renew or Print notices. Only Send notice is offered under the two lapsed filters.
- Confirm in the dialog. It says what will happen before anything is done.
What happens next
A box above the list says how many were done, and how many were skipped and why, for example "skipped — email consent has run out." or "skipped — no email address on file." Click Dismiss to close it.
- Send notice sends each member the notice that fits where they are in the sequence.
- Create invoices issues renewal invoices. A membership that already has one keeps it.
- Renew creates each next term and its invoice, left open to be paid. Use it for members who have paid offline or are to be invoiced. Remaining notices are cancelled.
You can select up to 200 memberships at a time. Changing page, page size or search clears the selection.
Review queue at the top opens renewals whose answers are waiting for review, with a count. Export downloads the queue for the filter you are on.
