Renew a member who calls, writes or pays by cheque. You answer their renewal questions for them, record the payment if you have it, and renew.
Before you start
- The membership must be due for renewal or in grace. A lapsed member is reinstated instead.
- If you are recording a payment, have the method, the date received and any reference, such as a cheque number.
- You cannot make a declaration for a member. A declaration they have to make themselves is left for them.
Steps
- Open the member record and click Renew for member. From Renewals, you can also choose Renew for member… from the … menu on their row.
- Ask the member the questions shown and enter what they say. You are recorded as having answered for them. If an answer changes their level or adds an add-on, the amount updates.
- Check the amount and the Total.
- If you have the payment, leave Payment has been received on and fill in Received by (Cheque, e-Transfer, Cash, Card or Other), Date received and Reference (optional). Turn it off to issue the invoice and leave it open for the member to pay.
- Add a PO reference (optional) if they need one.
- Click Renew.
What happens next
The membership renews to its next term, and you are returned to the member record. The message says the date they are renewed to.
If any answers need a person to look at them, the message says the answers are in the review queue. The member stays renewed while they wait.
If the question set has a required declaration, the page tells you it can only be made by the member. The renewal goes ahead and is held in the review queue until it is settled.
If an answer stops the renewal, the page shows why, and nothing is renewed.
If the member has a membership card, it updates with the new term on their phone. They do not add a new one.
For several members who have paid offline or are to be invoiced, you can instead select them on Renewals and click Renew. This creates each next term and its invoice, left open to be paid, and cancels the remaining notices. It does not ask the renewal questions.
