A printed renewal notice carries the same facts as the email, a web address with a code to type there, and a slip to send back with a cheque. Use it for members email does not reach.
Before you start
- On Renewals, the Email not getting through filter shows who email is not reaching. A row with no address says "No email — renew by phone or post".
- Notices print only for memberships that have a renewal date and have not resigned or been closed. A lapsed member's row does not offer it: reinstate them instead.
- Printing is recorded in the audit log as an export.
Steps
- Go to Renewals.
- For one member, click the … menu on their row and choose Print notice with code.
- For several, tick their rows and click Print notices on the action bar. It is not offered under Lapsed in the last 30 days or Recently lapsed.
- Check the notices on screen. They are one page each. The top bar says how many there are, and how many were skipped because there was nothing to renew.
- Click Print. Close the preview with the X when you are done.
If none of the members you chose can have one, you see "None of those memberships has a renewal to print."
What happens next
Each notice shows the member's name and city, their level, their renewal date and the amount, including any GST/HST. It offers two ways to renew:
- Online — a web address and a code. The member goes to the address, enters the code under Renewal code and clicks Continue. They reach the same page their emailed link leads to. Capitals or lower case, with or without the dashes, both work. A wrong code shows "That code was not recognised. Check it against your notice and try again."
- By post — a cheque payable to your organization, with the slip at the foot. The slip shows the member, the code as Reference, the membership and the amount.
Until online payment is available, a member who enters the code sees the amount but cannot pay online, so the cheque slip is how they pay. Record the payment when the cheque arrives.
The code belongs to the member's renewal link for this renewal. Printing again gives the same code. If an Org admin revokes the link, the code stops working too.
