Choose what members are asked while they renew. You work on a draft, and members are asked the published version until you publish the next one.

Before you start

  • You need to be an Org admin.
  • With no questions set up, a renewal is just the amount and Pay. That works; questions are optional.

Steps

  1. Go to Organization Settings → Renewal questions.
  2. If you have no set yet, choose Start from this on Professional association or Club, or click Or start with a blank set. If a version is already live, click Edit questions to open a draft.
  3. Click Add question, or the pencil to edit one.
  4. Enter the Question shown to the member (for a declaration, The statement the member ticks and the Full text of the declaration), and optional Helper text (optional).
  5. Choose the Type: Confirm or correct, Declaration, Choice — one, Choice — several, Consent, Number, Date, Short text, Long text, File upload, Roster confirmation, Level selection or Add-on.
  6. Choose How often to ask: Every renewal, Every few renewals, Until answered, then never again, Once, ever, Only when a related detail has changed or Only when staff ask for it.
  7. Under Who sees this question, click + Add condition to limit it — for example by level, province, chapter or good standing. Leave it empty and everyone due is asked.
  8. Under What happens with the answer, click + Add an outcome only where an answer should change something: Flag for me to review, Move them to another level, Raise a task for the team, Ask for a document or Stop the renewal. A Stop the renewal outcome needs a message telling the member who to contact.
  9. Turn on Required if the member must answer, then click Add question or Save question.
  10. Use the arrows to reorder questions, and the icons to duplicate or remove one.
  11. Click Preview as member to see what a member would be asked. Email this to me sends you the preview; no member is contacted.
  12. Click Publish version and confirm.

What happens next

The new version applies to renewals started from then on. Renewals already under way keep the version they started on. The publish dialog tells you how many are under way and how many are due but not yet started.

Changes to a draft save as you make them. Discard draft throws it away.

A Confirm or correct question shows the member what you hold; a correction updates their record, and the answer is kept as well. A Choice — one question can also update a contact field, set under Where the answer goes. A Consent answer writes a consent record.

Answers are kept with the exact wording the member saw and cannot be edited afterwards. Changing a declaration's wording never changes what a past agreement says.

Answers flagged for review appear in the Review queue under Renewals.

The same questions are asked when staff use Renew for member, except that staff cannot make a declaration for the member.
