Instead of receipting every gift one by one, roll each donor's gifts for the year into a single consolidated receipt and send them together.
Before you start
- You're an Org admin. Members can open the screen, but running it shows "Only an organization admin can issue year-end receipts."
- In Organization Settings → Receipts: an authorized signature, plus your charity name, address and registration number. The run is blocked until these are set.
- The year's gifts are recorded, including offline gifts.
Steps
- Go to Receipts and click the Year-end receipts tile.
- Pick the Tax year. The most recent complete year is selected for you.
- Under Who gets a receipt, check the rules: Only donors set to an annual receipt, Only gifts not already receipted, Minimum eligible total, Fund (blank means all funds), and Hold donors with no address on file.
- Under Delivery, choose Email the branded receipt (PDF attached), Print / mail batch for the rest, and Include a year-in-review thank-you letter.
- Review Included donors. Use the All, Email, Mail and Needs attention tabs, and Export to download the list.
- Check Before you run shows everything ready, and click Preview a sample to see a receipt.
- Click Generate & send, then confirm. The window shows how many receipts will be issued and the first receipt number.
What happens next
Each included donor gets one numbered receipt for the year's gifts. Receipts are emailed to donors with an email address; the rest are kept for printing. The covered gifts are marked receipted so they won't be receipted again. A message tells you how many were issued, emailed, left to print, or not delivered; undelivered ones wait as Ready to send in Receipts.
Click Run history to see past runs. Use Print bundle to get one PDF of the receipts still to go out by mail, and Mark printed once you've mailed them. To correct an issued receipt, void it and reissue.
