Keep a donor's details current so receipts and emails go to the right place. Changes to name, email and consent are recorded in the audit trail.
Before you start
- A full mailing address is needed for tax receipts.
Steps
- Open the donor from People and click Edit.
- Under Contact type, choose Individual, Household or Organization.
- Under Basics, update the name (or Organization name), Email and Phone.
- Under Mailing address, update Street address, City, Province, Postal code and Country.
- Under Details & tags, change Tags, Stage, Source and Notes.
- Under Consent & receipting, set Email opt-in and Mail opt-in.
- Choose the Tax receipt preference: Per gift, Consolidated annually or Do not receipt.
- Click Save changes.
What happens next
The preference applies to gifts recorded after you save. Gifts already saved keep the receipt status they were given, so changing it doesn't move existing gifts in or out of the receipt queue.
For new gifts:
- Per gift and Consolidated annually gifts are marked Needs receipt. Consolidated annually gifts wait for the year-end run.
- Do not receipt gifts are marked Not required.
With Email opt-in off, the donor is skipped when you send emails.
Setting Stage to Archived hides the donor from every list and moves them to Organization Settings → Data & audit. Delete donor is different: it permanently removes the donor and their giving history, and can't be undone.
