What you see
A consolidated receipt totals less than you expected, leaves out gifts the donor made, or the donor isn't in the run at all.
Why it happens
A year-end run only includes a gift when:
- It's dated in the tax year (January 1 to December 31).
- It doesn't already have a receipt, when Only gifts not already receipted is on. Voided receipts don't count.
- Its receipt status isn't Not required or Import.
- It matches the Fund rule, if you set one.
- It isn't linked to an event. Event gifts need individual review and are held out.
A donor is left out when Only donors set to an annual receipt is on and their preference isn't Consolidated annually, when their total is under the Minimum eligible total, when their preference is Do not receipt, or when the contact is archived. With Hold donors with no address on file on, donors without a mailing address are held under Needs attention.
Fix
- Open the donor's Giving tab and check the missing gift's date, fund and receipt status.
- If the gift already has its own receipt, it's correctly left out. To include it instead, void that receipt, then run year-end again.
- In Year-end receipts, check the Tax year, Fund, Minimum eligible total and the toggles under Who gets a receipt.
- Check the Needs attention tab. Add the donor's mailing address on their record, then return to Year-end receipts.
- Use Export on the Included donors list to see each donor's status and reason.
