Issue a numbered receipt for a gift. Donors assigns the receipt number and builds the PDF with your charity details and signature; you choose whether to email or print it.

Before you start

  • Your receipt settings are filled in under Organization Settings → Receipts, including an authorized signature.
  • The gift is saved and shows Needs receipt.
  • To email it, the donor needs an email address.

Steps

  1. Open the gift from Gifts, the donor's Giving tab, or the Needs review tab in Receipts.
  2. In the Receipt panel, click Generate receipt. A permanent receipt number is assigned and the status becomes Receipt — not sent.
  3. Click View PDF to check it.
  4. Click Send receipt to email the donor with the PDF attached, or Print receipt to open the PDF for printing. The status becomes Receipt — sent or Receipt — printed.

To receipt many gifts at once, go to Receipts and click Generate receipts. The dialog shows how many receipts will be issued, their total value, tax years and gift dates. Gifts from donors who chose an annual receipt are left for the year-end run unless you tick the box to include them. Click Generate to issue them; they wait on the Ready to send tab until you click Send all ready. You can also tick gifts on the Needs review tab and click Generate.

What happens next

Once a receipt is generated, the gift's donor, amount, date, fund and method are locked; to change them, void the receipt. Generating closes the gift's "Create receipt" task and opens a "Send receipt" task, which closes when you send or print. The receipt appears on the donor's timeline.

After the first send or print, Resend receipt and Reprint receipt reuse the same number and the PDF is watermarked COPY. If the donor has no email, sending fails with "This donor has no email address — print the receipt instead."
