Terms & renewal rules holds the rules every membership runs on. A level can set its own term and grace period; everything else here applies to all levels.
Before you start
- Only an Org admin can change these settings.
- Changes apply to terms created from now on. A term already running keeps the dates it was given.
Steps
- Go to Organization Settings → Terms & renewal rules.
- Under Term, choose the Default term:
- Anniversary — the term runs from the day each member joins.
- Fixed date — everyone renews on one common date. Set the Renewal month and Day (1 to 28). For a calendar year, choose January 1.
- Rolling monthly — month to month until cancelled.
- For Fixed date, choose When someone joins part-way through the year: prorate by month, prorate by day, no proration, or full price with the term running to the following renewal date after a Cutoff month. For prorating by month, choose whether A part-month rounds down or up.
- Under Renewal and grace, set:
- Renewal window, days — how far ahead a membership becomes Renewal due.
- Grace period, days — how long after the renewal date before the membership lapses.
- Unpaid applications expire after, days.
- Under Good standing, set A member in grace is still in good standing, Days an invoice may be overdue and Invoices are due after, days.
- Under Level changes and reinstatement, choose what happens When a member moves to a cheaper level part-way through a term and When a lapsed member comes back. With Resume, choose whether to Charge for the terms that were missed.
- Under Auto-renew and consent, set Retry a failed card after, days and Email consent lasts, months after membership ends.
- Under Member portal, choose whether Members can sign in with their email address and a code.
- Click Save rules.
What happens next
You see "Terms and renewal rules saved." The change is recorded in the audit log.
New terms use the new rules. Existing terms keep their dates until they renew. A level set to its own term or grace period keeps its own setting.
If A member in grace is still in good standing is off, members lose member pricing on the first day of grace. The screen also mentions directory listing; Members doesn't have a member directory yet.
Life — no end date is not an organization default. Set it on the level instead.
