Move a member from one level to another, such as Student to Regular. The change can wait for their next renewal or take effect now.
Before you start
- The new level must be active and the same type as the current one. An individual membership can only move to another individual level, a household to a household level, and an organizational membership to an organizational level.
- A lapsed, resigned or closed membership cannot change level. Reinstate a lapsed member first.
- If the change takes effect immediately and the new level is cheaper, your downgrade rule in Organization Settings → Terms & renewal rules decides what happens to the difference.
Steps
- Open the member record.
- Click More, then Change level.
- Under New level, choose the level. Only active levels of the same type are listed. If there are none, you see "There is no other active level of the same type to move to."
- Under Takes effect, choose:
- At renewal — nothing changes until the next term is created, which is priced at the new level. This option only appears if the membership has a renewal date.
- Immediately — the level changes now and the term dates stay the same.
- Add a Reason (optional). It is kept on the membership history.
- Click Queue the change (at renewal) or Change level now (immediately).
What happens next
At renewal: the record shows "Moves to [level] at renewal", and the member list shows the new level under the current one. The change is applied when the next term is created, however the renewal happens. If a renewal notice or renewal flow is used, it is priced at the new level.
Immediately, to a more expensive level: an invoice is issued for the price difference over the days left in the term. It appears under Dues and payments on the record and in Dues & invoices as a level upgrade.
Immediately, to a cheaper level: the difference for the rest of the term follows your downgrade rule:
- Credit the difference to their next renewal — the record shows the credit, and it comes off the next renewal invoice.
- No refund or credit — nothing further happens.
- Refund the difference — Members creates a task for staff to pay the refund. Members does not move the money itself.
Every change is recorded in Membership history. If the member holds a membership card, it updates to show the new level.
