You can email donors straight from Donors. Each person gets their own copy, and the email is logged on their timeline.
Before you start
- Recipients need an email address and Email opt-in turned on. Anyone without either is skipped.
Steps
- Open the composer in one of these ways:
- On a donor's record, click Send email.
- In People, tick several people and click Email.
- In Communications, click Add new → Email.
- Under Recipients, check the list. Use Add a recipient… to add more, or the × to remove someone. People who can't be emailed are crossed out and marked Unsubscribed or No email.
- To reuse saved wording, pick one under Start from a template. It fills in the subject and message.
- Enter the Subject and Message. Use the toolbar for formatting and blocks such as + Button, + Content pill, + Stat, + Image and + Divider. Click a merge field under Insert: to add it, such as {{first_name}} or {{lifetime_giving}}.
- Click Send email. If some recipients can't be emailed, the button reads Send to … of ….
To create a template, go to Communications → Templates and click New Template. Give it a Template name and Subject, write the Email content, and check the Footer & compliance tab. Click Send test to email it to yourself, then Save template. Only Active templates appear under Start from a template. Use Duplicate on a template's card to copy it.
What happens next
You'll see "Email sent" with how many it went to and why anyone was skipped. If no one can be emailed, nothing is sent; you'll see the reason before you send.
An unsubscribe is the donor's own choice under CASL. Only they can reverse it, or you can on their profile if they've asked you to. A missing address you can fix by adding one to their profile.
Your logo, colours and footer are added automatically when the email is sent; change them in Edit branding.
System templates run the donation and receipt emails. You can edit their subject and content, and Reset to default restores the original wording. You can't rename or delete them.
