Tags label donors, such as a donor type or campaign. Segments are saved, filtered views of your People or Gifts list, built from rules. Everyone picks tags from one shared list, so your filters stay reliable.
Before you start
- Only an Org admin can add, edit, merge, archive or delete tags. Members see "Only an organization admin can manage tags."
- Anyone on your team can apply tags to donors and create segments.
Steps
- To create a tag, an Org admin goes to Organization Settings → Tags and clicks Add tag, or Add your first tag if there are none yet.
- Enter a Name, pick a Color, and optionally choose a Group (Donor type, Engagement, Source or Campaign) and a Description (optional). Click Save tag.
- To tag a donor, open their profile and click Add tag beside their name, then pick from the list. You can also set Tags under Details & tags when you add or edit a contact. Only tags from the managed list appear; "Need a new tag?" links to Manage tags in Settings.
- To create a segment, go to People (or Gifts) and click + New segment in the row of chips above the list.
- Enter a Segment name and choose a Type.
- Under Rules, choose Match ALL or Match ANY, then add conditions. On People you can use Recurring status, Last gift date, Lifetime giving, Email consent and Tag (is or is not). On Gifts you can use Fund, Gift amount, Gift date, Receipt status and Source. A segment with no conditions matches everyone.
- Click Save segment.
What happens next
Your segment appears as a chip above the list. Click it to filter, click All contacts or All gifts to clear it, or click the pencil to edit or Delete it. Segments show the records that match their rules at the time you view them.
In Settings → Tags, each tag's ⋯ menu offers Edit, Merge into…, Archive and Delete. Editing a tag changes it everywhere. Merge tags moves every donor to the target tag, then removes the old one. Archived tags stay on donors who already have them but can't be added to anyone new; click Un-archive to bring one back. Delete permanently removes the tag from every record and can't be undone, so Archive instead if you might want it back. Tags marked System are read-only and used for filtering only.
