Funds are a managed list. On gifts and donation forms, people select a fund from this list; new funds are only created here.

Before you start

  • You're an Org admin. Members can see the list and Where used ›, but can't change funds.

Steps

  1. Go to Gifts and click Funds.
  2. Click Add fund.
  3. Enter a Name. Optionally add a Code and GL account.
  4. Choose a Type: Unrestricted, Restricted, Designated or Endowment.
  5. For a seasonal fund, set Runs from and Until. Leave both blank for a standing fund.
  6. Add a Description if you like, and click Add fund. You'll see "Fund created."

To change a fund, click the ⋯ menu on its row:

  • Edit to rename it or change its details, then Save changes.
  • Make default to pre-select it on new gifts.
  • Merge into… to move everything on it to another fund. Choose the fund under Merge into and click Merge funds. This can't be undone.
  • Archive to hide it from pickers while keeping its history, or Restore to bring it back.
  • Delete to remove a fund nothing has used.

What happens next

The fund appears in the fund lists on gifts and donation forms. A dated fund is only offered while it's running, but a gift dated inside its window still finds it.

Renaming a fund updates it everywhere it's used, except on receipts already issued, which keep the name the donor was given. Click Where used › to see the gifts, donation forms, recurring plans and issued receipts that use a fund.

  • You can't archive the default fund. You'll see "This is the default fund. Make another fund the default before archiving it." Make another fund the default first.
  • You can't delete a fund that has gifts, recurring plans or events. Archive it or merge it instead.
  • Two funds can't share a name: "There is already a fund called …"

Click Export fund usage report (CSV) to download each fund's usage.
