Reports holds your fundraising reports and the Accounting Export, which turns gifts into a file your accounting system can import. Pick a report from the buttons at the top of the page.
Before you start
- Anyone on your team can view reports and download files. Only an Org admin can mark gifts as exported or undo an export.
- For the accounting export, set a GL account on each fund in Gifts → Funds. Funds without one export as UNMAPPED.
Steps
- Go to Reports. Choose a report:
- Key Donor Metrics: retention, attrition, new and reactivated donors, growth in giving, and recurring donors, compared with the prior period. Choose This calendar year, This fiscal year, Last year or Custom. How these are calculated explains each figure.
- Gifts by Fund: totals, share and monthly trend by fund. Filter by period, fund type and Active only or All funds. Click Export CSV for the table.
- Top Donors: your biggest supporters by all-time received giving.
- Lapsed Donors: past donors with no gift in a window you choose, such as Last 90 days or This fiscal year. Click Sort to switch between Lifetime giving and Last gift date.
- On metrics, top donors and lapsed donors, click Download PDF to open a printable report in a new tab.
- For the accounting export, click Accounting Export.
- Under 1 Select gifts, set From and To, and pick All funds or specific funds. Leave Only gifts not yet exported on so gifts aren't posted twice. Turn on Include refunds & adjustments if you want negative amounts included.
- Under 2 Format, pick Generic CSV, QuickBooks Online, QuickBooks Desktop, Sage 50 (Canada), Sage Intacct or Xero.
- Under 3 Accounting options, leave Summarize as a journal entry on for one balanced entry, and choose Group by: Fund, Fund + day, Fund + week or Day (all funds). Turn it off for one row per gift. Enter the Deposit / bank account. Check the Fund → revenue (GL) account list for funds marked not set.
- Check Selected to export and Preview by fund, then click Download.
- Once you've confirmed the file, an Org admin clicks Mark these gifts as exported. The button shows how many gifts.
What happens next
Downloading alone doesn't change anything, so you can share a file with your bookkeeper first. After you mark gifts as exported, you'll see "Marked as exported — these gifts won't appear in the next export." The deposit account is remembered for next time.
Each marked export appears in Export history with its gift count, total, date and who ran it. An Org admin can click Undo to put those gifts back in scope. Confirm the file layout with your bookkeeper the first time you import it.
